This Privacy Policy describes how Dojo Organizer ("Dojo Organizer," "we," "us," or "our") collects, uses, and shares information when you visit or use our website and related martial arts studio management services (collectively, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information you provide to us:

  • Account and registration details, such as your name, email address, mailing address, and phone number.
  • Student, family, and emergency contact information entered by a studio, parent, or guardian.
  • Billing information processed through our payment providers (we do not store full credit card numbers on our own servers).
  • Information you submit through contact forms, trial requests, surveys, or support messages, including the content of emails and text messages you exchange with us.

Information collected automatically:

  • Device and usage data such as IP address, browser type, pages viewed, and referring pages.
  • Cookies and similar tracking technologies, as described in Section 5 below.

2. How We Use Your Information

  • To create and administer your account and provide the Service (scheduling, attendance, billing, grading/rank tracking, etc.).
  • To communicate with you by email, SMS text message, or phone about your account, classes, appointments, and billing.
  • To respond to inquiries, support requests, and trial or enrollment requests.
  • To send administrative, promotional, and marketing communications, subject to your consent and opt-out choices described below.
  • To maintain the security of the Service and prevent fraud or abuse.
  • To comply with legal obligations.

3. Email Communications

We use your email address to send transactional messages (such as receipts, schedule changes, and account notices) and, where you have opted in, marketing and promotional messages. Every marketing email includes an unsubscribe link. You may also contact us using the details in Section 9 to update your email preferences. We may still send you transactional or account-related emails even after you unsubscribe from marketing email, where necessary to service your account.

4. SMS & Text Messaging Communications

If you provide your mobile phone number and opt in to text messaging (for example, at registration, at checkout, or through a web form), you consent to receive SMS text messages from Dojo Organizer, including:

  • Class, appointment, and trial scheduling reminders;
  • Billing and payment notifications (e.g. upcoming or failed charges);
  • Promotional and marketing messages about classes, events, and offers; and
  • Two-way conversational messages with studio staff.
Message frequency varies. Message and data rates may apply. You can opt out of text messages at any time by replying STOP, or get help by replying HELP. Consent to receive text messages is not a condition of any purchase or enrollment. Opting out of promotional texts will not affect transactional messages that are necessary to service your account, unless you ask us to stop all messaging entirely. Carriers are not liable for delayed or undelivered messages.

We do not sell or share your mobile phone number, or the fact that you opted in to text messaging, with third parties for their own marketing purposes.

5. Cookies and Tracking Technologies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Service is used, including through analytics providers such as Google Analytics. You can instruct your browser to refuse cookies or to alert you when cookies are being sent; however, some parts of the Service may not function properly without cookies.

6. Third-Party Service Providers

We share information with third-party service providers who perform services on our behalf, such as payment processing, email and SMS delivery, hosting, and analytics. These providers are only permitted to use your information as necessary to provide services to us and are not authorized to use it for their own marketing purposes. We may also disclose information if required by law, to protect our rights, or in connection with a business transfer.

7. Data Security

We use commercially reasonable administrative, technical, and physical safeguards to protect the information we collect. No method of transmission over the Internet or electronic storage is completely secure, so we cannot guarantee absolute security.

8. Children's Privacy

The Service is intended for use by studio staff and by parents or guardians managing information on behalf of student members. We do not knowingly collect personal information directly from children under 13 in a manner inconsistent with the Children's Online Privacy Protection Act (COPPA). Student information for minors is provided and managed by a parent, guardian, or the studio.

9. Your Choices and Rights

You may review, correct, or request deletion of your personal information, opt out of marketing email or SMS, or ask us questions about this policy by contacting us at the details below. California residents have certain rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect and the right to request deletion; we do not sell personal information.

We may update this Privacy Policy from time to time. Changes are effective when posted on this page, and we will update the "Last updated" date above.
